I had a tab open for a takeoff tool. Four hundred a month. I had four plan PDFs on the job. Four. I did the math, closed the tab, and felt like I had been caught looking at a car I was not going to buy.

This search is everywhere. Contractor takeoff. PDF to Excel. Scheduling. An AI inbox. The results are a row of seats. Monthly, annual, per user. The problem you typed was "I need line items off this," and the page that came back was a demo call.

Three ways that are not "buy the seat."

Use a slice of something you already pay for

Adobe, if you already have it, will let you export a table. Excel will open a PDF sometimes and make a mess you can clean. Bluebeam is the one contractors name, and if your GC already sits you in it, use that seat, do not buy a second. Square already has invoices and a tap-to-pay thing on the phone. QuickBooks already has a pay link.

I spent a week comparing OCR tools while Preview on the Mac was sitting there highlighting text I could paste. I still had to type. I had always had to type. The $400 tab made me forget that.

Pay for the pain, not the year

Some of these products will charge per document, or a cheap month you can cancel. If you have twelve invoices, pay for twelve. If you have one takeoff this quarter, maybe you mark it up by hand and you are not a coward. The yearly seat is for a person whose whole job is that.

I used a per-page extractor for a stack of receipts in April. It missed two. I typed two. That is a good deal. In May I did not resubscribe because I did not have a stack. That is also a good deal, and the email they sent me about "your workflow" was not.

Make a one-off that is not a product

A marked-up plan and a spreadsheet of quantities. A folder of PDFs and eight columns. A photo of a ticket and one row. Somebody has done that without becoming a takeoff company. The try is a link, a couple of pictures, what they did. You will still check it. Checking is cheaper than $400 if the job is four PDFs.

What you still do by hand is the part the landing page skips. Scale, duplicates, the page that scanned crooked. A one-off that admits that is more useful than a demo that does not.

If the $400 tool is the whole job, like you take off plans all day, that is different. Buy it. This post is for the rest of us, who opened the tab because Friday was long and a video said we were working too hard. Sometimes we are. Sometimes we have four PDFs.
