My notes, the email, and the spreadsheet all disagree

The appointment was at 2. The email said 2. The sheet said 2:30 because someone moved it and emailed nobody. The calendar on the front computer still said 2. The customer showed up at 2 and we were "running a little behind," which was a lie we had scheduled.

Search is not "best CRM." Search is why is this in three places, or how do I stop copying between calendar and spreadsheet. Clinics, shops, anyone whose day is visits and a list.

Pick one source and make the others follow

I do not care which one. I care that you pick. For us it was the sheet, because that is where we also put who paid. The calendar became a picture of the sheet, not another list we edit. The email became "see the sheet," which is rude and also the first week nobody was double-booked.

If you pick the calendar, then the sheet is a report, not a place you edit. The fight is always about who is allowed to type. Write that down. It will feel bureaucratic. It is cheaper than a no-show.

I tried "we'll just be careful" for a month. We were not careful. Careful is not a calendar.

Automate the copy, not the decision

A zap that makes a calendar event when a row gets a date is fine. A zap that "schedules the customer" is how you get 2 and 2:30 at once. Copy is mechanical. Who gets the 2pm is not.

I had one that created events from the sheet and it created them twice because I also typed them. That was me. I turned off my own hands for a week. It held.

If you cannot say in one sentence what gets copied, do not turn the zap on yet. You will automate the disagreement.

Delete the third copy on purpose

Three is what makes the lie. Two you can check. Three, someone will trust the wrong one. The email folder of confirmations felt important. It was a museum of old times. I archived it. I still have the reflex to search my inbox for Tuesday and I am trying to stop.

You do not need a fourth app to reconcile the first three. That app becomes number four. I have a graveyard of those.

If this is a clinic with real rules about records, listen to whoever already yells about that, not a blog post. For a shop that is just tired, pick a source, copy in one direction, kill the extra list. The customer does not care which software was right. They care what time you said.
