How do I get two programs I already pay for to talk

I pay for Square. I pay for QuickBooks. For a while I also paid for a connector I did not understand, because a page said "works with QuickBooks." The totals showed up. The line items did not. I was still typing descriptions at night, which is the part I was trying to stop.

People search this as "does Square sync with QuickBooks" or "how do I connect X to Y" or, later, "why is this export so bad." Same job.

Use the export they already gave you

It is ugly. Use it anyway. CSV from Square, CSV into QuickBooks, or the other way around. Map the columns once in a sheet in the middle if you have to. I resisted this because it felt like I had failed at software. I had not. I had refused to look at a CSV.

A lot of "integration" is this, with a nicer button. Do the CSV once by hand so you know what done looks like. Then you can tell if the nicer button is lying.

Use a connector for the boring copy, not the thinking

Zapier, Make, the native sync if it is real. Good for "when a payment lands, make a row" or "when an invoice is paid, don't make me type the date." Bad for "figure out which vendor this is" and "split this the way our bookkeeper would."

I had a zap that created a QuickBooks customer for every new Square buyer. We already had those customers. I spent a month merging duplicates. The zap was not wrong. I had asked it to think.

If you turn one on, watch the first twenty records like they might catch fire. Then leave it alone.

Ask someone who has wired that exact pair

Not "someone good at integrations." Someone who has Square and QuickBooks Online and a shop that looks like yours. The pair matters. Toast to QuickBooks is a different animal. Jobber to QuickBooks is a different animal. A generalist will sell you a platform. The person who has the pair will say turn off that one toggle or it doubles the tips.

I found that answer in a Square Community thread from 2023 that was still true. I also found three that were not true anymore. Check the date. Then do the ugly export once so you can see it.

You already pay for both programs. The third purchase is how we pretend the first two will finally behave. Sometimes the CSV was the whole fix and I did not want that to be the ending, so I kept shopping. The CSV was the ending.
